Uploading & Managing Patient Data

Audience: Physicians and practice staff who upload clinical documents and manage patient data in Bioscope.


Overview

Bioscope's AI analyzes uploaded clinical documents to build each patient's health profile. The more data you provide, the richer the Health Dimensions, Problem List, Medications, and other views become. This guide covers what to upload, how to upload it, and what happens after.


Where to Upload

All uploads happen on the patient's Data tab:

  1. Open a patient from the Patients list.

  2. Click the Data tab.

  3. You'll see four sections:

    • Files — clinical documents, plus the Anatomical Rendering upload

    • Corrections — flag and correct data the AI extracted incorrectly

    • Notes — free-text clinical annotations that adjust the record

    • Export — export the patient's data


Uploading Clinical Documents (Files)

How to Upload

  • Click Add Files or drag and drop files directly into the upload area.

  • You can upload multiple files at once.

Accepted File Formats

What Happens After Upload

  1. The file appears in the Files list with a Processing status.

  2. Bioscope's AI reads and extracts clinically relevant data — diagnoses, lab values, medications, procedures, and more.

  3. Once processing completes, the status changes to Complete.

  4. Extracted data automatically populates the patient's tabs: Health Dimensions, Medications, Supplements, Problem List, Imaging, and the Synoptic View.

Tips for Best Results

  • Upload complete reports — full lab panels are more useful than individual values.

  • Include dates — documents with clear dates allow Bioscope to build accurate timelines.

  • Name files descriptively — e.g., CBC_Panel_2026-03.pdf rather than scan001.pdf. This helps you find files later.

  • Upload regularly — each new document updates the patient's Health Dimensions and AI analysis.


Uploading a Body Image (Anatomical Rendering)

Below the file upload area, there is a separate Upload Body Image section.

What It's For

This image is used to create the patient's personalized anatomical visualization — the body silhouette shown at the bottom of the Synoptic View.

Requirements

  • Format: JPG or PNG only (not PDF)

  • Content: A full-body photo of the patient in tight-fitting clothes

  • Framing: Only the patient should be visible in the image — no other people

  • Upload by clicking Upload Body Image or dragging the file into the designated area

Note: This is separate from the clinical file upload. Clinical documents go in the Files section above; the body image goes in the Anatomical Rendering section below.


Notes

The Notes sub-tab is for free-text clinical annotations that adjust the patient's record — for example, "Add hypothyroidism to the problem list." Use it when the record needs a clinician's judgment rather than a correction to what was extracted.


Export

The Export sub-tab exports the patient's data.


Managing Uploaded Files

Viewing Files

All uploaded files are listed on the Data tab → Files with:

  • File name

  • Processing status (Processing / Complete)

  • Upload date and time

Use the Search across all documents… bar to quickly find a specific document.

Processing

Bioscope's AI is currently analyzing the file. This typically takes a few minutes.

Complete

Analysis is finished. Extracted data has been added to the patient's profile.

If a File Gets Stuck

If a file stays in "Processing" for more than 30 minutes:

  1. Check that the file is a supported format (PDF, CSV, Excel, JPG, PNG).

  2. Ensure the file isn't corrupted or password-protected.

  3. Try re-uploading the file.

  4. If the issue persists, contact support@bioscope.ai with the patient name and file name.


Corrections

The Corrections sub-tab (next to Files) allows you to flag data that Bioscope's AI may have extracted incorrectly. If you notice a diagnosis, medication, or lab value that doesn't look right, use this section to submit a correction.
